About the Role
As an Executive Assistant, you will be integral to the smooth daily operations for senior leaders. You’ll expertly manage complex schedules across various global time zones, balancing shifting priorities with ease. Your responsibilities will include coordinating travel from start to finish, preparing polished documents, and facilitating seamless meetings. You will act as a trusted point of contact, ensuring strong relationships are maintained throughout the organisation. Safeguarding confidential information and supporting event planning will also be key. Your ability to anticipate needs and streamline processes will make you an indispensable part of the administrative team.
Key Responsibilities
- Manage complex calendars for senior leaders, coordinating meetings across multiple global time zones and prioritising demands efficiently.
- Arrange comprehensive travel logistics, including bookings, accommodation, itineraries, and meticulous expense management.
- Prepare, proofread, and edit correspondence, presentations, and reports with accuracy and professionalism.
- Coordinate internal and external meetings, handling all logistical aspects such as venue, materials, technology, catering, and minute-taking.
- Serve as a dependable liaison between executives and internal/external stakeholders, ensuring timely communication.
- Maintain confidential records and files securely, handling sensitive information with integrity and discretion.
- Support event planning activities for team offsites, client meetings, staff functions, or special events.
- Anticipate the needs of senior leaders, providing proactive solutions and streamlining administrative processes.
- Assist with special projects, including research, data compilation, or cross-functional collaboration.
- Contribute positively to the team environment by sharing best practices and supporting colleagues.

Requirements
- Minimum of 3 years’ experience as an Executive Assistant, preferably within a professional services or similar setting requiring multitasking.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with collaboration tools like Zoom, Teams, or Slack.
- Demonstrated expertise in managing executive-level communications including email correspondence, scheduling appointments, travel planning, and expense reporting.
- Exceptional organisational skills and acute attention to detail to manage multiple priorities without compromising quality.
- Excellent written and verbal communication skills for professional interaction with stakeholders at all levels.
- Proven track record of exercising discretion and sound judgment when handling confidential information.
